Privacy Policy

Gymment is the software gyms use to run their classes, memberships, check-ins and payments. This policy explains what information Gymment handles, why, who sees it and what you can do about it.

Who is responsible for your information

Gymment is operated by The Eagles Marketing ("The Eagles Marketing", "we" or "us"), the company that builds, hosts and supports it. There are two different relationships, and it helps to know which one applies to you.

If you are a member, student, guest or staff member of a gym, the gym decides what to collect and what to do with it. The Eagles Marketing processes those records on the gym's behalf, to provide Gymment. For questions about what a gym does with your records, ask the gym first.

If you visit our website, open an account for a gym you own, or write to us, The Eagles Marketing decides how that information is used, as described below.

What we collect

Depending on how you use Gymment, the information can include:

  • Account details: your name, email address, phone number and password. Passwords are handled by our sign-in provider and are never stored as readable text.
  • Profile details you or your gym enter: date of birth, photo, emergency contact, notes the gym keeps and, for a gym owner, the gym's name, logo, address and opening hours.
  • What happens at the gym: memberships and enrollments, class reservations and waiting lists, check-ins, guest visits, ranks and promotions, shop orders and pickups.
  • Documents you sign: the wording you agreed to, your drawn or typed signature, the date and time, and the IP address and browser you signed from, so the signature can be proven later.
  • Guardian details: for a child, the linked parent or guardian who signs documents on their behalf.
  • Payment records: amounts, dates, status, whether it was paid by bank account or card, and references from Stripe. Full card or bank account numbers are handled by Stripe and are never seen or stored by Gymment.
  • Messages: the emails and push notifications we send you, such as receipts, reminders and notices.
  • Technical information: IP address, browser and device type, and the pages and actions that keep the service working and secure.
  • What you type into a gym's website: if a gym puts a Gymment sign-up form on its own site, what you enter there comes to us on that gym's behalf.

How we use it

We use information to:

  • Run your account and your gym's account: show schedules, record check-ins, enroll members and keep ranks and documents.
  • Bill memberships and shop orders through the gym's Stripe account, and send the receipts and reminders that go with them.
  • Send the messages that the service needs, and push notifications if you turn them on in your browser.
  • Keep a reliable record of signed documents.
  • Keep the service secure, find and fix problems, prevent fraud and abuse, and enforce our terms.
  • Meet legal obligations and answer valid legal requests.

What we do not do

We do not sell your personal information. We do not share it with advertisers, and we do not use it for advertising that follows you across other sites. Members' records are never used to market to them on Gymment's behalf. See our Do not sell page for details.

Who can see your information

Your gym's staff see what their role allows. Each gym can only reach its own records, and other gyms never see yours.

We share information with the companies that help us run the service, and only for that purpose:

  • Supabase, for our database, sign-in and file storage (such as photos and shop images).
  • Vercel, for hosting the website and the app.
  • Stripe, for processing payments and paying gyms.
  • Resend, for delivering email.
  • Your browser's push notification service, if you turn push notifications on.

Other times we may share information

We may disclose information when the law requires it, to respond to a valid legal request, or to protect the safety, rights or property of people or of The Eagles Marketing. If The Eagles Marketing is ever part of a merger, sale or transfer of its business, information may move to the new owner, which would be bound by this policy or would tell you first.

Payments

Payments are processed by Stripe. Money paid for a membership goes to the gym's Stripe account. The Eagles Marketing has its own Stripe account, which receives the fees that gyms pay for Gymment. Stripe uses your information under its own privacy policy, and Gymment receives only the details needed to show the payment, such as the amount, status and type of payment method.

Children and guardians

Many gyms teach children. A child's record should be created by the gym or by a parent or guardian, and a linked adult signs documents for them. The gym is responsible for getting the permission it needs from parents and guardians.

If you believe information about a child was given to us without a parent's permission, write to us at contact@theeaglesmarketing.com and we will work with the gym to remove it.

Cookies and similar technology

We use only what the service needs. Cookies keep you signed in and protect your session. Your browser also stores small items such as your light or dark theme choice, and a push subscription if you allow notifications.

We do not use advertising cookies or third-party tracking on Gymment.

How long we keep it

We keep information while your account or your gym's account is active. If you delete your account, your login and your member record are deleted, together with the records attached to it. If an owner who runs a gym alone deletes their account, the whole gym account is deleted with it.

Some information can remain for a limited time in backups, and records that the law requires us or our payment provider to keep, such as payment and tax records, may be kept longer.

Security

Information travels over encrypted connections, each gym can only reach its own records, and access inside a gym follows the roles its owner sets. No system is perfectly secure, so please use a strong password, keep it private and tell us if you think someone else has your login.

Your choices and rights

You can:

  • Edit your details from Profile at any time.
  • Delete your account from the Account section of Profile.
  • Turn push notifications off in your browser settings.
  • Ask for a copy of your information, or for something to be corrected or deleted, by writing to your gym or to us.

Rights where you live

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your information, to object to or limit some uses, and to be free from unfair treatment for using these rights. To use them, write to contact@theeaglesmarketing.com. We may need to confirm who you are first, and for records that belong to a gym we may send your request to the gym. We answer within the time the law gives us.

Where information is processed

The Eagles Marketing and the companies listed above may process information in the United States and in other countries where they operate. Where the law requires it, we use safeguards for those transfers.

Changes to this policy

We may update this policy as the product changes. The date at the top shows the latest version, and for important changes we will tell account holders in the app or by email.
